Join Our Team as an Administrative Assistant!
We’re looking for a highly organized and approachable Administrative Assistant to keep our office running smoothly day-to-day. This role is the face of the office—greeting visitors, managing calls, and handling the administrative details that keep everything on track.

Front Desk & Office Coordination:

Act as the first point of contact for visitors, employees, and incoming calls.
Answer, screen, and direct phone calls and general inquiries.
Greet guests and ensure a professional, welcoming front desk experience.
Receive, sort, and distribute mail and deliveries.
Coordinate couriers and outgoing shipments.

Administrative Support:

Maintain organized digital and physical filing systems.
Scan, upload, and file documents using established naming conventions.
Assist with document preparation and general recordkeeping.
Perform routine checks to ensure documents are complete and properly organized.
Support day-to-day administrative needs for the HR and Finance departments.

Scheduling & Coordination:

Coordinate calendars, meetings, and internal appointments.
Schedule interviews and greet candidates upon arrival.
Keep shared calendars up to date (e.g., absence tracking, meeting bookings).

Office Operations:

Order and maintain office and kitchen supplies.
Keep common areas organized and presentable.
Coordinate with cleaning services as needed.
Arrange lunches or catering for meetings and team events.
Support company events and seasonal activities.

Skills and Requirements:

5+ years of progressive administrative experience.
Strong organizational and time-management skills.
High attention to detail and accuracy.
Professional communication skills (verbal and written).
Ability to manage multiple priorities in a dynamic environment.
Proficiency in Microsoft Office (Outlook, Word, Excel).
100% at site.

Pay Range: $23 - $25 per hour (based on experience)
